Driver Check Lists¶
Delivery¶
___ Before Delivery: Call and confirm that the customer (or his agent) will be at the job site to receive the equipment at the set time (UNLESS OTHERWISE ARRANGED ahead of time per management). Confirm the items being delivered are the right equipment for the job, the meeting time, job site address, directions, and confirm that no changes have been made since the last confirmation.
___ Prep: Re-check and make sure that all reserved items have been preloaded and properly secured on an “appropriate” vehicle and trailer as needed. Start equipment to make sure it is still operational.
___ Departing: Take all necessary paperwork. (This include contract copies for deliveries, operating instructions, credit card slips to be signed, transfer slips (between stores), tablet, pick up tickets for pick ups, etc.
___ Upon Delivery: Make sure the customer is using the proper equipment for the job they are working on.
___ Upon Delivery: Unload unit at the job site and take pictures of: _____ the customer’s ID, _ _ _ _ **(4 side views – **showing cosmetic condition & jobsite in background), ___ hour meter, and ____ fuel gauge.
___ Upon Delivery: Prequalify the delivery job site. Make sure it is a legitimate job site. Make sure the job site and equipment is secure before leaving equipment that will be left on site overnight. If anything seems shady, before leaving the equipment, call your manager for approval. Along with Customer’s ID, you can take pictures of vehicle plates, job site conditions, etc. and send pictures to your manager before leaving the site.
___ Upon Delivery: Give customer & operators safe and proper use instructions for all delivered items. Have the service tag signed. Attach it to the Original Contract upon return.
___ Before Departing Job Site: Give customer (and others on site) a catalog(s) & promotional aids.
___ Upon Return to store: Email pictures of the equipment and Completed Driver Checklist to your store with the contract # #######D_CAT-ITEM #. (i.e. 7526642D_1560-100) in the subject of the email. Send it to the traffic email address: traffic@chetsrentall.com

Pick Up¶
___ Before Pick Up: “Call the customer” (or agent) and confirm the unit is ready for pick up and someone will be at the job site when we come. Verify approximate pick up time, that unit is “accessible” and key is available.
___ At Pick Up: Discuss with the customer/agent and record the equipment condition (damage, fuel level, hours meter, cleanliness, etc.) at the times of the pick up.
___ At Pick Up: Give customer or his representative copies of our rental catalog(s), and appropriate literature and promotional items
___ At Pick Up: Call your “home branch before” leaving ANY and EVERY site (including customer job sites, branch locations, other retail or vendor locations or office, etc.)
___ At Pick Up: Before loading equipment at the job site, take pictures of: __ __ __ __ (4 side views) of the cosmetic condition of each unit, ____ the hour meter, and _____ the fuel gauge.
___ At Pick Up: Check the condition of all equipment being picked up and add notes to the contract as needed. (note returned items counted and listed, cleanliness, damage conditions, hour meter status, fuel needed, counts, etc.)
___ At Pick Up: Have the customer or his agent signed the contract or pick up slip with the notes listed on it. Make sure the name and signature are readable.
___ Upon Return: Refuel the equipment upon return and notify the counter of, the fuel needed, the hour meter reading, any new damage, cleaning time (if necessary), all returned items, note any missing items, etc.
___ Upon Return: Email pictures of the equipment and Completed Driver Checklist to your store with the contract #######P_CAT-ITEM # in the subject of the email. (i.e. 7526642P_1560-100) Send it to the traffic email address: traffic@chetsrentall.com

Transfers¶
___ Before Leaving: one store for another store, check the Run Board & see if you need to take anything with you.
___ Before Leaving: Call the store that you are going to YOURSELF and ask if anything is needed from the store where you currently are that isn’t yet listed on the run board. List who you TALK TO here: __________________________
___ Before Leaving: make sure all items taken to another store are clean, full, tagged, working properly, and all accessories listed are loaded and secured, Notify both sending and receiving stores if anything is not up to speed. Note any issues on contract with detail on a “NOTE” added to it. Take pictures of the equipment before loading equipment. Include pictures of: cosmetic condition of equipment (4 sides), Hour meter, and fuel gauge, and completed checklist.
___ Before Leaving: write (or have written up) a rental contracts in triplicate to transfer equipment between stores. The person generating the contract signs initials or signs it verifying what is being transferred. The driver also signs it. The original contract stay at the sending store and the driver takes the other two copies with him.
___ When Departing: Take all paperwork required (i.e. rental contract for rental equipment being transferred and/or transfer slip for inventory sales items and parts.)
___ Upon Arrival: have store’s staff where you are dropping off items check in all items being dropped off and confirm that all items are tagged, working, and accounted for (merchandise inventory, rental equipment, parts, accessories, supplies, etc.). Have the transfer contract’s “check in” copy & “driver” copy signed by the staff member who checked it in. Take both copies to the counter & have the contract closed out. The receiving store keeps one copy and the driver keeps the other signed copy.
___ For Merchandise, Parts, & Supplies: have items unloaded, counted, and verified by the receiving store’s staff. Have the “receiver” sign the transfer slip verifying accuracy of the transfer. Give the receiving store the original initialed slip and make a photo copy for the driver.
___ Before Returning: (from “EVERY” job site and “EVERY” store, vendor, or other stop), call your home store and ask if anything else is needed from where you are or if you need to make any other stop before returning.
Afternoon Preparation¶
___ Every afternoon: Run a reservation reports for the next day, review it and make sure all items are available.
___ Every afternoon: Work with dispatcher or a manager regarding deliveries and pickups for the following day.
___ Every afternoon: Call customers. Confirm following day’s delivery reservations and/or pickups. Discuss project details (right equipment for the project), time desired, on site contact persons’ name/phone numbers, and “delivery” address. Discus deposit matters (Verify an open account for the reserving customer or verify that a deposit has been run) exact locations, contact persons, etc. (see below items)
___ Every afternoon: Make sure customers have a charge account or the deposit information is accurate
___ Every afternoon: Plan the next day’s trip with a “directional path” and map of sites to visit. Map out deliveries and pickups in an efficient manner. Consider delivery times required and double up when possible. Consider pickups that can be made on same trip to avoid empty truck return trips. Schedule multiple activities for each road trip (i.e. load vehicle for multiple deliveries then, if possible, schedule pickups to be done before returning no empty trailer)
___ Every afternoon: Make sure vehicles to be used have adequate fuel levels for the trip
___ Every afternoon: Inspect and test equipment to make sure it operates properly,
___ Every afternoon: PRELOAD and secure the reserved equipment and accessories BEFORE LEAVING at the end of your work shift according to the established “directional path”. This will allow us to get the truck on the road before any rush hour traffic.
___ Every afternoon: If a delivery before opening hours is possible & confirmed, process the deposit as needed, have contracts opened (or Pick Up Tickets), printed, available, accessible, & ready for the next morning’s trip.
